1. Who we are
ConciergeCloud is a cloud VM management platform operated by ntegral, Inc. ("ntegral", "we", "us", or "our"). We help engineering teams deploy pre-configured, CIS-hardened virtual machines directly into their own Microsoft Azure subscriptions. This policy describes how we collect, use, and protect the information you provide when using ConciergeCloud.
2. Information we collect
- Account information — name, email address, and organization name obtained through Microsoft single sign-on (Azure AD / Microsoft Entra ID) when you authenticate.
- Azure service principal credentials — your Azure tenant ID, client ID, and client secret, which you provide to authorize deployments into your subscription. These credentials are encrypted and stored in a dedicated Azure Key Vault under your control.
- Deployment data — records of VM deployments you initiate, including VM names, Azure regions, OS image selections, deployment status, and error logs.
- Usage data — pages visited, actions taken within the platform, and browser/device metadata collected via standard server logs. We do not use third-party analytics trackers.
- Email address for notifications — used to send transactional emails such as deployment results, credential expiry warnings, and account invitations.
- SMTP credentials (administrators only) — if your organization configures a custom SMTP server in the admin panel, those credentials are stored encrypted in our database and never returned in plaintext via the API.
3. How we use your information
- Authenticating you and maintaining your session.
- Deploying and managing virtual machines in your Azure subscription on your behalf.
- Sending transactional email notifications about deployments, plan changes, and credential expiry.
- Providing administrators with tenant management, invite, and plan configuration tools.
- Monitoring platform health, diagnosing errors, and improving the service.
- Complying with legal obligations.
We do not sell your personal information. We do not use your data for advertising.
4. How we store and protect your data
All data is stored in infrastructure hosted within Microsoft Azure. Azure service principal credentials are stored exclusively in Azure Key Vault and are never logged or transmitted in plaintext. Database records are encrypted at rest. All connections to the platform are secured via TLS. We apply the principle of least privilege to internal service access.
5. Third-party services
- Microsoft Azure — compute, Key Vault, and identity (Azure AD). Your VM deployments run entirely within your own Azure subscription; ntegral does not have persistent access to your Azure resources beyond what is needed to execute the deployment you request.
- SMTP provider — transactional emails are delivered via an SMTP server you configure (or ntegral's default SMTP service). Email content is limited to operational notifications.
We do not share your data with any other third parties except as required by law.
6. Data retention
We retain account and deployment records for as long as your account is active. If you request account deletion, we will delete or anonymize your personal data within 30 days, except where we are required to retain it by law. Deployment logs may be retained in anonymized form for platform reliability analysis.
7. Your rights
Depending on your jurisdiction, you may have rights to access, correct, delete, or restrict the processing of your personal data. To exercise any of these rights, contact us at the address below. We will respond within 30 days.
8. Cookies
ConciergeCloud uses a single session cookie to maintain your authenticated session. We do not use advertising cookies, cross-site tracking cookies, or third-party analytics cookies.
9. Changes to this policy
We may update this policy from time to time. When we do, we will revise the effective date above and, for material changes, notify account holders by email. Continued use of the platform after changes are posted constitutes acceptance of the revised policy.
